Data Protection Policy

Carrickfergus YMCA is committed to ensuring Data collected and stored regarding users, staff and other stakeholders is treated with appropriate care, meeting its legal obligations under various Data Protection Acts.

Carrickfergus YMCA will strive to observe the law in all collection and processing of subject data and will meet any subject access request in compliance with the law.

Carrickfergus YMCA will only use data in ways relevant to carrying out its legitimate purposes and functions as a charity in a way that is not prejudicial to the interests of individuals.

Carrickfergus YMCA will take due care in the collection and storage of any sensitive data. Carrickfergus YMCA staff will do their utmost to keep all data accurate, timely and secure.

Carrickfergus YMCA recognises that this policy covers data in both paper and electronic formats.

Management & Ownership of Data

All records created and received by Carrickfergus YMCA staff in the course of their duties must be retained for as long as they are required to meet the legal, administrative, financial and operational requirements of Carrickfergus YMCA.

After such time they are either destroyed or transferred to Carrickfergus YMCA archives in accordance to official retention periods.

All records, irrespective of format created or received by Carrickfergus YMCA staff in the course of their duties are the property of Carrickfergus YMCA and subject to its overall control.

When working with your Data Carrickfergus YMCA Will;

    • Obtain and process personal data fairly and in accordance with the fulfilment of its functions.
    • Keep data for purposes that are specific, lawful and clearly stated and the data will only be processed in a manner compatible with these purposes
      Personal data held by Carrickfergus YMCA will be adequate, relevant and not excessive in relation to the purpose/s for which it is kept.
    • Carrickfergus YMCA will have procedures that are adequate to ensure high levels of data accuracy.
    • Carrickfergus YMCA will examine the general requirement to keep personal data up-to-date.
    • Carrickfergus YMCA will put in place appropriate procedures to assist staff in keeping data up-to-date.

    • Carrickfergus YMCA will have procedures in place to ensure that data subjects can exercise their rights under the Data Protection legislation
    • Carrickfergus YMCA will take appropriate security measures against unauthorised access to, or alteration, disclosure or destruction of, the data and against their accidental loss or destruction.
    • Carrickfergus YMCA is aware that high standards of security are essential for all personal information.
    • Carrickfergus YMCA will not transfer Data to other countries without appropriate and adequate protection as outlined by Data Protection legislation.
    • Carrickfergus YMCA recognises these principles will be reflected in respect to both paper and electronic systems
    • Carrickfergus YMCA will ensure that it has a privacy policy in place for users of its services and that this is available via its website.

What are your rights?

You have the right to request access to personal data which Carrickfergus YMCA will have collected from you.

You have the right to request Carrickfergus YMCA to correct or update or delete any of your personal data where this is based on consent.

You can withdraw or change your consent at any time by contacting dataprotection@carrickymca.org

Please note that all processing of your personal data will cease once you have withdrawn consent, other than where this is required by law, but this will not affect any personal data that has already been processed prior to this point.
